Building A Show

When you arrive on-site, there's a whole rhythm to the process. It’s like setting the stage for an epic performance, but with a lot more tech and coordination involved!


First up, the AV team rolls in and gets everything in place, testing all the gear. It’s like they’re tuning the instruments before the concert begins.


Next, the producer hands over the treasure chest of content—videos, presentations, scripts, music tracks, and those all-important Voice of God recordings (because who doesn’t love a little drama in their voiceovers?).


Then, the show caller steps in, holding the run of show like a conductor wielding a baton. She talks with the crew, asking how they want to run the cues—do we go with presets, cue numbers, what are the lighting cues? The magic starts to take shape.


Now, here comes the fun part: technical rehearsals. It’s a bit like the first time you ride a bike—things are clunky, there are a few bugs to squash, and we’ve got to work through it all, slowly but surely. But that’s okay! This is where we iron out the kinks and get everything running smoothly.



Once the team’s in sync, the executives show up for their rehearsals—but only after we’ve made sure all the content is playing like it should and the crew knows exactly what’s going down. We don’t want surprises when the big bosses walk in!


Then, the real magic happens. It’s go-time! We’re in walk-in mode, and RedHawt takes a moment to go around and ask everyone on comms, “What are you grateful for today?” It’s a little pre-show ritual that gets everyone in the right mindset.


Now, it’s all about that final countdown: VOG 5 minutes, VOG 1 minute, house lights down, and the music fades out. And boom—Opening Experience! Let’s do this!



This is why we need time for load-in and technical rehearsals. Without them, the executives might start to doubt the crew's abilities—especially if something doesn’t go right, like a video glitch or a prompter scroll that’s off. If they’re worried about the tech, they’re not fully focused on delivering their vision. That’s why we put in the time and effort. We’re here to make sure the presenter feels confident, secure, and ready to rock the presentation. Sure, it might not be Broadway, but trust me—this show matters. It’s crucial to the company, to the audience, and to us behind the scenes.
